Invite staff

Give teammates access to one event or your organization, with only the pages they need.

Choose the right kind of access

Team invitations give people access to management pages in Endurance HQ. They are different from participant app invitations and volunteer signup. A volunteer who only needs a shift does not need staff access.

Use event access for someone helping with one event. Organization access covers all current and future events in that organization and requires organization-admin authority. Choose the narrower option unless the person's role needs more.

Send an invitation

  1. Open Team

Open the event's Team area, or your organization's team management area for an organization-wide invitation. Start a teammate invitation and check the selected event or organization.

  2. Add the recipients

Enter each person's email address and check it carefully. If you add multiple recipients, review everyone in the list. Use the address they expect to use for their EHQ account.

  3. Set scope and permissions

Choose this event or the organization, then select the management pages or permission set the person needs. Event-only teammates do not gain organization-wide permissions. You can only grant access your own role allows; ask an administrator if the needed option is unavailable.

  4. Review, then send

Choose Review invite. Check the recipients, scope, and page access together before selecting Send invite. If you schedule the invitation, confirm the scheduled time instead of expecting an immediate message.

Add without inviting does not send an invitation. Use it only when you intentionally want to prepare the person or assignment without contacting them yet.

Check your work

Find the teammate in Team and review the invitation status. Sent or queued is not the same as accepted. Ask the teammate to follow their invitation and confirm they can open the correct event and the pages they need.

If the teammate cannot get in

Check the invited email address, whether the invitation is still pending, and whether they signed in with the intended account. Review their event and page permissions before broadening access. Use the invitation's available resend action when appropriate rather than making a second account or granting organization admin by default.
