Import participants

Bring in a roster, review the proposed changes, and decide how participants receive app invitations.

Before you start

Open the correct event and confirm you have permission to manage participants. Use a current roster with a header row and clear names, email addresses, race options, and bib numbers where available. Keep a copy of the original file. CSV is a good fallback if a spreadsheet cannot be read.

Check whether automatic app invitations are enabled for the event before importing. New participants can receive invitations after import when that setting is on.

Review and import

  1. Open the event's Registration area

Go to the participant roster and choose Register people. Conference events may label this Register attendees. An empty roster also offers options to paste people, upload a roster, or sync from a provider.

  2. Choose the source

Upload your roster or paste the participant information. If you are using a connected registration provider, choose its available sync option. Keep corrections in the original provider when it owns the registration data so later syncs do not bring back old values.

  3. Preview the proposed changes

Choose Preview and read Review changes. Check the matched columns, race options, waves, and any warnings. Look at which people will be created, updated, or skipped. Resolve incorrect matches before applying the import.

Only use Compare full roster when the file really contains the complete roster you intend to reconcile. A partial export should not be treated as proof that missing people need to be removed. Review any proposed removals carefully.

  4. Apply the reviewed import

Confirm the proposed changes and any selected removals, then choose Import. Wait for the completion result and review the counts. If you see App invites automatic, remember that the event's invitation automation can run after new people are imported.

Check your work

Open the roster and inspect a few newly added and updated participants. Confirm their race option, bib, and contact information. When automatic invitations are off, use App invites when you are ready to invite them. A completed import is not proof that a participant received or accepted an invitation.

If the preview looks wrong

Stop before Import. Fix the headers or source data, export a fresh CSV if necessary, and preview again. If an import is interrupted, inspect the roster and completion state before retrying the same file.
